Challenge

The need was to build a tutor management system that could provide the students one to one or a small group lessons.

Some of the key requirements of the system were:

  • A virtual classroom environment that could meet the needs of keeping track of students' progress and class schedules.
  • A virtual classroom environment that could interact directly with his tutor and ask questions there and then.
  • Scheduling software that could allow the students/ guardians could schedule a class at their own suitable timing and tutors could revert back and confirm or decline the request.
  • Rating and feedback mechanism to provide effective services.
  • An Admin section that could keep track of over or under bookings and tutor ratings.

Solution

The client collaborated with Cygnet Infotech to deliver Rich web based LMS application that acted as a collaboration platform between various user groups such as administrators, centers, and students.

Other key features offered by the solution were:

  • Course uploading facility that allowed the centers to upload specific courses. Course instructors also had full control over all settings for a course, including restricting access to other instructors.
  • The system offered the privilege to design content on topic-based or discussion-focused formats.
  • A secure system providing authentication and authorization to users based on profiles.
  • A scheduler tool was provided using which the student could select their preferred date and time for learning. The tutor could view the list of preferred times given by the students. He could then approve or disapprove the requests.
  • A Calendar tool was provided for the tutor where he could mention his preferred timings and days for teaching.
  • Integration with whiteboard. The system was also compatible with various hardware's (printers, point and click devices and tablet pens).
  • The system offered features similar to contemporary classroom methods of teaching where the student could view whatever the instructor wrote at the same time the students could give their own inputs using raise a hand feature using the whiteboard. The system offered a platform for active participation from both the students and tutor. The software was also equipped with session recording facility that allowed the students to go through the recorded sessions at their ease.
  • The software provided an assessment module for progress tracking.
  • The system also provided an inbuilt feedback and rating mechanism allowing the students to rate the session once it was over.
  • The system provided an inbuilt CRM that kept track of Enrolment related information. The system also allowed tracking of the left over hours purchased from the administrator.
  • The data for each Online/Offline Application Form was retained in the system and associated with each Student ID.
  • The system provided for online payment or donation by integrating with different payment gateways.

Benefits

The application manages e-commerce, scheduling classes, CMS for learning content, track sessions & CRM. It also provides an interactive communication tool for one to one tuitions which has a whiteboard, video & audio confidentiality & chat.

The application also facilitates group tuitions with more than one student in the session. Besides this, the system also provides following benefits to client:

  • User friendly system that is easy to understand and use and requires minimal trainings.
  • High level of security that stops users from unauthorized access.
  • Anytime anywhere access.

"We have found their technical staff skills to be of a high standard and they have been extremely cooperative during the development cycle.

I would highly recommend Cygnet in terms of their technical skill and their ethical approach to contracts and agreements."
